We are seeking to hire a part-time office manager to administer day-to-day operations at their office in the historic Chesterfield building in downtown Durham. Preservation Durham’s mission is to protect Durham’s historic assets through advocacy, education and action.
This Office Manager’s primary responsibilities are managing the organization’s administrative functions, which includes data entry and bookkeeping, and ensuring that the office operates efficiently. The Office Manager is also responsible for greeting visitors that come to the office, answering phone calls, messages, and emails, and directing inquiries to appropriate staff/board members. This position reports directly to the Executive Director.
Job Duties
- Bookkeeping
- Manage bookkeeping functions
- Record donations and gifts into the donor management system
- Generate monthly income/expenditure and statement of financial position reports
- Prepare bank deposits, make bill payments
- Generate sales and use tax reports and pay taxes quarterly
- Apply for sales tax refund
- Assist accountant with preparing federal and state tax reports
- Other duties as assigned by the Executive Director
Administration
- Maintain Preservation Durham’s policies and procedures
- Assess and order office supplies
- Maintain organizational documents in an efficient and orderly filing system
- Greet visitors to the office, answer phone calls, return phone messages, regularly check and respond to email and social media inquiries.
- Direct and forward inquiries to the appropriate staff/board members
- Other duties as assigned by the Executive Director
Skills Required
- Proficient in QuickBooks, Microsoft Excel, Microsoft Word, and Dropbox
- Commitment to honesty and integrity, presenting information accurately
- Uses good judgment regarding sensitive and confidential information
- Great oral and written interpersonal skills
- Able to multi-task and adapt to changing circumstances
- Works well independently as well as with a team
- Pays close attention to detail

- $20/hour
